How should an External Quality Assurer provide written feedback to a centre?

External quality assurers use report templates provided by the awarding organisation to prepare their reports. These standardised templates help maintain consistency across centres and set clear expectations for the content and criteria addressed in each report. As identified in the example report (see pg.42), many aspects of centre practice will be covered in the final report, often with yes or no, or met/not met judgments. 

However, EQAs are expected to provide clear written feedback to the centre, highlighting good practices and areas for improvement. They are also required to draft actions for the centre that are clear and show the impact these actions have on learners, assessment practices, or internal quality assurance.

Written feedback in an EQA visit report is essential for providing centres with a clear, permanent record of strengths, areas for improvement, and recommended actions. Unlike verbal feedback, written comments ensure that all stakeholders can reference the guidance after the visit, supporting transparency and accountability. 

Well-crafted written feedback enables centres to reflect on their assessment practice, plan targeted improvements, and demonstrate compliance with awarding organisation standards during future audits or external reviews. It also minimises misunderstandings, as the content is carefully documented and aligned with assessment criteria and qualification requirements.

Including SMART actions (Specific, Measurable, Achievable, Relevant, Time-bound) in an EQA report is crucial for providing clear, actionable guidance that centres can follow to address areas for improvement. 

SMART actions ensure that recommendations are not vague or open to interpretation, but rather focused and practical, enabling centres to track progress and demonstrate compliance within set timeframes. This approach fosters accountability and supports continuous quality improvement, making it easier for centres to understand expectations and plan their response effectively.
